Overview


ISNA Cares is seeking a compassionate, organized, and proactive Program and Administrative Support Coordinator to assist in the delivery of accessible programming for children and youth with diverse needs, while also providing administrative support for the ISNA Cares department (Mental Health, Social Services, and Spiritual Care).

This role supports the coordination and day-to-day implementation of accessible programs, helping ensure that programming is inclusive, engaging, and responsive to community needs. The successful candidate will assist with organizing weekly programming, supporting program development, liaising with community partners, and managing key administrative tasks that contribute to the smooth functioning of the department.

We are looking for someone who is highly organized, adaptable, and passionate about inclusive community programming. The ideal candidate is motivated to support the continued development of accessible services while contributing to the efficient operation of ISNA Cares.


Key Responsibilities


Program Coordination

  • Coordinate and facilitate weekly inclusive and adaptive programming for children and youth with diverse abilities.
  • Organize activities including games, arts and crafts, team-building exercises, educational sessions, and special events that are accessible and inclusive for all participants.
  • Modify activities to accommodate participants with physical, developmental, or cognitive disabilities to ensure equitable participation and safety.
  • Collaborate with the staff and volunteers to develop engaging and accessible program plans.
  • Support the growth and development of accessible programming by identifying new opportunities, activities, and participant engagement strategies.
  • Conduct outreach to community organizations, schools, service providers, and local partners to build collaborative relationships that support accessible programming.
  • Identify and pursue new partnership opportunities that help expand ISNA Cares programming and community reach.
  • Represent ISNA Cares in community engagement opportunities related to accessibility and youth programming.
  • Support the promotion and awareness of programs to increase participation and community involvement.

Administrative Support

  • Provide administrative coordination to support ISNA Cares programs and services.
  • Manage and respond to program-related emails and inquiries, ensuring timely communication with participants, families, and community partners.
  • Assist with participant registration and data management, including maintaining accurate records and demographic information.
  • Answer phone calls, respond to inquiries within scope of authority, or direct inquiries to the appropriate team member.
  • Support appointment scheduling, program registrations, and follow-up communications.
  • Attend team meetings and support agenda preparation, note taking, and meeting minutes.
  • Maintain organized program documentation and records.
  • Assist with compiling program statistics and reports using spreadsheets or internal databases.
  • Support general administrative tasks including file management, supply organization, and document preparation.
  • Demonstrate ongoing efforts to improve processes, streamline operations, and support program efficiency.
  • Provide administrative coverage and support for other team members when needed.
  • Support additional duties as assigned to ensure the success of ISNA Cares programs.

Qualifications and Skills

Applicants must:

  • Be a Canadian citizen, permanent resident, or person with refugee protection under the Immigration and Refugee Protection Act for the duration of employment.
  • Be legally entitled to work in Canada and have a valid Social Insurance Number.
Preferred qualifications include:

  • Diploma or degree in youth work, social services, education, or a related field, or equivalent experience.
  • Experience with data tracking or program administration systems is an asset.
  • Experience working with individuals with physical, developmental, or cognitive disabilities is considered an asset.
