Position Overview


The Executive Assistant to the Board of Directors plays a critical role in supporting the governance and administrative functions of ISNA Canada. This position provides high-level administrative support to the Board of Directors, its committees, and officers, ensuring smooth and efficient operations. The Executive Assistant is responsible for coordinating meetings, maintaining accurate records, managing documentation and filings, and providing editorial and logistical support on various organizational projects.

Key Responsibilities

Meeting Coordination & Support
  • Schedule and coordinate Board meetings, including logistics, invitations, agendas, and documentation.
  • Prepare and distribute meeting materials in a timely manner.
  • Record and transcribe accurate minutes of meetings and ensure timely follow-up on action items. Board meetings are generally set on Weekends. 
  • Track attendance, quorum, and voting records as needed.

Records & Documentation
  • Maintain organized and up-to-date electronic and physical records of Board activities, policies, and historical documents.
  • Manage corporate filings and ensure compliance with regulatory requirements (e.g., annual returns charitable registrations).
  • Support the development and maintenance of Board and committee manuals and training materials.

Governance Support
  • Provide administrative assistance to the Board and Board-level committees.
  • Assist in tracking governance deadlines, follow-up tasks, and reporting requirements.
  • Help collect feedback on draft policies, reports, and documents, and incorporate suggested edits as directed.

Additional Administrative Duties
  • Support onboarding and orientation of new Board members.
  • Help with logistical planning for Board/Ops meet up, AGMs, or strategic planning sessions.
  • Perform other administrative and coordination tasks as needed to support the Board and organizational leadership.

Qualifications

  • 1+ years experience as an executive assistant, board liaison, or administrative coordinator (preferably in a non-profit or governance environment).
  • Excellent organizational and time-management skills with a strong attention to detail.
  • Superior written and verbal communication skills.
  • Ability to handle confidential information with discretion.
  • Proficiency in Google Workspace, Asana and digital file management systems.
  • Knowledge of non-profit governance, minute-taking best practices, and board operations is an asset.

Compensation

$25.00 - $31.00 per hour
