Operations Coordinator

Position Overview

The Operations Coordinator is responsible for the day-to-day administrative,
facility, and maintenance of ICC, a community center, a mosque, and school. This role
ensures smooth daily functioning across all areas of the centre by managing office
administration, coordinating facility use/rental and maintenance, and supporting
community programs and events. The ideal candidate is highly organized, personable,
and comfortable working in a fast-paced, mission-driven environment that serves a
diverse community.

Key Responsibilities

Administrative & Office Management
● Manage office systems, records, files, and databases.
● Coordinate scheduling and logistics for all events taking place on site.
● Process incoming and outgoing inquiries, in person and email.
● Vendors/contractor correspondence for preventative maintenance and on
call/emergency needs.
● Assist leadership with correspondence, reports, project research & support.
● Maintain organizational SOPs and documentation in an up-to-date, accessible
format.

Facility & Maintenance Coordination
● Oversee the day-to-day operation, cleanliness, safety of the building and grounds,
including prayer halls, classrooms, offices, washrooms, wudu areas and exterior of
the building.
● Coordinate routine maintenance, repairs, and inspections with vendors and
contractors.
● Maintain inventory of facility supplies, and equipment, and manage reordering as
needed.
● Ensure compliance with health, safety, and fire code requirements, including
coordinating required inspections and certifications with contractors.
● Manage facility rental requests and coordinate room setups for prayers, classes,
events, and private bookings.
● Supervise or coordinate with custodial and maintenance staff or contractors.

Qualifications
● Bachelor's degree preferred, or equivalent combination of education and relevant
experience.
● 2+ years of experience in office administration, operations, facilities, or
nonprofit/community program coordination.
● Excellent organizational skills with the ability to manage multiple priorities and
deadlines.
● Strong written and verbal communication skills.
● Proficiency with Google Workspace; experience with project management
database and scheduling software.
● Comfortable being in a community front facing role, assisting all inquiries.
● Familiarity with Islamic practices, terminology, and the rhythms of
community/mosque life is strongly preferred.
● Ability to maintain confidentiality and exercise sound judgment and discretion
● Flexibility to work occasional evenings and weekends for events, prayers, and
programs.

Working Conditions
● Primarily based on-site at ICC.
● May require lifting and moving event materials, supplies, and equipment (up to
50 lbs)
● The schedule may include evening and weekend hours depending on community
events and prayer times.

Compensation

$45,000.00 - $50,000.00 per year
