Events & Programs Coordinator

Description

ISNA Canada is seeking a highly organized, community-focused Programs & Events Coordinator to support the planning, coordination, delivery, and evaluation of community programs and events.

The Events & Programs Coordinator will take primary responsibility for coordinating organizational events while managing an assigned portfolio of recurring programs, workshops, and community initiatives. The role will work closely with the existing Programs Coordinator, Community Engagement Manager, internal departments, volunteers, speakers, vendors, and community partners to ensure initiatives are well-organized, inclusive, financially responsible, and aligned with ISNA Canada’s mission and strategic priorities.

Key Responsibilities:

  • Plan, coordinate, and execute a minimum of 10–12 community events annually, along with assigned recurring programs and visiting speaker initiatives delivered on-site and off-site.
  • Develop and manage project plans, timelines, workback schedules, budgets, task assignments, approvals, and contingency plans to ensure timely delivery.
  • Coordinate all event and program logistics, including scheduling, venues, speakers and facilitators, vendors, catering, room setup, equipment, supplies, registrations, volunteers, and participant communications.
  • Serve as the on-site lead for assigned events and programs, overseeing execution and resolving operational issues as they arise.
  • Provide seasonal planning and operational support for Summer Camp and Winter Camp, including scheduling, registrations, staffing, supplies, field trips, and on-site delivery.
  • Maintain an organized annual calendar of events, programs, deadlines, bookings, and departmental priorities.
  • Recruit, schedule, brief, and support volunteers, part-time staff, and committee members by providing clear roles, expectations, schedules, and operational guidance for events and programs.
  • Build and maintain positive relationships with speakers, facilitators, vendors, sponsors, community partners, participants, and host organizations.
  • Prepare and maintain administrative documentation, including agreements, invoices, purchase requests, contact lists, waivers, checklists, forms, procedures, and standard operating procedures.
  • Track registrations, attendance, participation, budgets, expenses, revenues, invoices, and other program and event data to support reporting and decision-making.
  • Obtain quotes and coordinate purchasing, payments, reimbursements, and vendor documentation in accordance with organizational procedures.
  • Collect and analyze participant feedback, attendance trends, engagement, and outcomes to evaluate effectiveness and recommend improvements for events and programs.
  • Identify emerging community needs, program gaps, and opportunities to strengthen existing initiatives or develop new programs, workshops, and pilot events or programs.
  • Ensure assigned events and programs are inclusive, accessible, cost-effective, and aligned with ISNA Canada’s mission and organizational standards.
  • Perform additional duties as required to support ISNA Canada’s mission and operational priorities.

Qualifications and Experience:
  • Post-secondary education in Event Management, Community Development, Social Sciences, Humanities, Business Administration, Nonprofit Management, or a related field.
  • Demonstrated experience coordinating community programs, events, workshops, or public-facing initiatives.
  • Strong organizational, time-management, and project coordination skills.
  • Ability to manage multiple programs, events, stakeholders, and deadlines while maintaining attention to detail.
  • Excellent written and verbal communication skills.
  • Strong interpersonal and customer-service skills, with the ability to work effectively with diverse community members.
  • Demonstrated ability to build and maintain productive relationships with internal teams, volunteers, vendors, speakers, and community partners.
  • Strong problem-solving, conflict-management, and decision-making abilities.
  • Ability to work independently while contributing to a collaborative and team-oriented environment.
  • Experience coordinating volunteers, committees, part-time staff, or event teams is considered a strong asset.
  • Experience with event registration platforms, project-management systems, databases, spreadsheets, and digital communication tools is considered an asset.
  • Previous professional or volunteer experience within Muslim community organizations is considered a strong asset.

Requirements:
  • Must be available to work in person at ISNA Canada’s Head Office in Mississauga, Ontario.
  • Must be available to work evenings and weekends as required for programs and events.
  • Must be able to travel locally when required for off-site programs, meetings, or events.
  • Must be able to communicate effectively in English.
  • Must be legally eligible to work in Canada and meet all applicable employment requirements.
  • Must obtain and maintain a valid Vulnerable Sector Screening or equivalent background check as required for work involving children and vulnerable populations in Ontario.

Compensation

$45,000.00 - $55,000.00 per year
