Volunteer Coordinator

Description

Job Purpose: The Volunteer Coordinator plays a central role in fostering meaningful community engagement at ISNA Canada. This position manages the full volunteer lifecycle from recruitment and onboarding to scheduling, engagement, and recognition. The role includes managing the Volunteer Engine CRM, creating and coordinating volunteer opportunities, and maintaining a seamless volunteer experience. The Volunteer Coordinator also works closely with various departments to support youth and community programs, with a strong focus on enhancing volunteer engagement, experience, and retention.

Responsibilities:
  • Recruit, screen, and onboard volunteers across diverse demographics, with a strategic focus on outreach and engagement across the Greater Toronto Area (GTA).
  • Create, manage, and adjust volunteer schedules to ensure adequate coverage for programs, services, and events.
  • Oversee and maintain the Volunteer Engine CRM, ensuring accurate volunteer profiles, activity logs, and engagement histories.
  • Provide orientations, trainings, and ongoing supervision to prepare volunteers for their roles and responsibilities.
  • Support volunteers throughout their involvement, ensuring positive and meaningful experiences.
  • Develop and implement innovative volunteer engagement and retention strategies to enhance satisfaction, belonging, and long-term involvement.
  • Provide ongoing volunteer recognition initiatives throughout the year, including the annual recognition event and smaller appreciation gatherings for volunteer leads.
  • Establish and support volunteer committees to encourage leadership and ownership among volunteers.
  • Design and implement volunteer development plans, including training sessions, workshops, and skill-building opportunities.
  • Support on-site volunteer operations during programs and events, including check-in, oversight, guidance, and issue resolution.
  • Collaborate with internal departments to assess volunteer needs and provide strategic staffing support for programs and events.
  • Maintain up-to-date volunteer documentation, SOPs, policies, and training materials to ensure consistent and effective volunteer practices.
  • Generate monthly volunteer engagement, performance, and participation reports using CRM analytics to identify trends, highlight challenges, and inform decision-making.
  • Track and report key volunteer metrics including recruitment sources, attendance, retention, shift fulfillment, and volunteer satisfaction to support continuous improvement.
  • Adapt to evolving organizational requirements and contribute positively to a collaborative, team-oriented environment.
  • Perform additional duties as necessary to support ISNA Canada’s mission and operational needs.

Qualifications and Job Experience Required:
  • A post-secondary degree in Community Development, Humanities, Social Sciences, Human Resources, or a related field.
  • Excellent interpersonal and communication skills, with the ability to build and sustain strong working partnerships with internal and external stakeholders.
  • Demonstrated ability to contribute to a culture of teamwork, collaboration, and shared ownership within an organization.
  • Strong and effective organizational, multitasking, and time-management skills.
  • Ability to successfully manage multiple priorities while maintaining attention to detail.
  • Strong conflict management and problem-solving abilities.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Strong stakeholder management capabilities, especially in high-engagement community settings.
  • Experience with and commitment to community engagement work in diverse communities.
  • Experience with CRM tools or volunteer management databases is a strong asset.
  • Experience in leadership, mentorship, or volunteer development is considered a strong asset.
  • Previous volunteer or professional experience in Muslim community spaces  is considered a strong asset.

Requirements: 
  • Must be available to work in-person at our Head Office (ISNA Canada - ICC) in Mississauga, ON.
  • Must be available to work evenings and weekends as required for program, events, and volunteer initiatives.
  • Must be able to communicate effectively in English.
  • Must be legally eligible to work in Canada and meet all necessary employment requirements.
  • Must obtain a valid Vulnerable Sector Screening or equivalent background check, as necessary for working with children in an educational setting in the province of Ontario.
